Vellix AI ("we," "us") is a healthcare technology company based in Louisville, Kentucky. This policy explains what information we collect when you visit vellix.ai (our marketing site), and how we use it.
This policy covers vellix.ai only. Our product, DenialIQ (hosted at denialiq.vellix.ai), is a separate application that processes claims and billing data — including protected health information (PHI) — under its own agreements with each customer, not this marketing site.
Information we collect
- Information you give us — when you submit a form on this site, we collect what that form asks for. The consultation / early-access form collects: your name, work email, company, your message, and your consent to be contacted — plus, only if you choose to provide them, your role, industry, approximate company size, the business systems you use today, your areas of interest, security or deployment requirements, and desired timeline. The design-partner application form collects: your name, business email, company, your description of the workflow or problem you want to improve, whether that workflow involves sensitive or regulated information (a yes / no / not sure answer), and your consent to be contacted — plus, only if you choose to provide them, your role, industry, approximate company size, the software involved in that workflow, and your desired timeline. The FQHC denial-analysis form collects: your name, work email, organization, your consent to be contacted, and optionally your phone number, estimated monthly denial range, EHR/RCM system, and any comments you write. Forms are submitted directly to our own web server (vellix.ai) — no third-party form service receives your submission — and the server delivers it to us as an email message through the mail service on our hosting account. To limit abuse, the server also keeps a short-lived submission counter derived from your IP address. Counter entries expire after one hour: expired entries are removed from your counter the next time you submit, and a counter file whose entries have all expired is deleted the next time the server processes a valid submission from another visitor. Until such a later submission occurs, a dormant counter file containing only expired entries may remain in storage.
- Usage data — this site does not run Google Analytics or any other analytics or advertising tracker. Our hosting provider keeps standard technical server logs (such as IP address, pages requested, and browser type) as part of operating the site.
How we use it
- To respond to your pilot application, consultation request, or inquiry and follow up about our services.
- To operate, secure, and improve our website.
Sharing
We do not sell your personal information. We share data only with the service providers that operate this site — our website hosting provider, whose infrastructure also delivers form submissions to us by email — and only as needed to provide our services or as required by law.
Cookies & analytics
vellix.ai does not set analytics or advertising cookies. We do not run Google Analytics, the Meta Pixel, or any advertising pixel on this site. You can control cookies through your browser settings.
Data retention
If you submit a form on this site (a consultation, early-access, design-partner, or denial-analysis request), your submission is delivered to us as an email message and kept in our business mailbox. We keep it for as long as reasonably needed to respond to you and to maintain ordinary business records — deletion of old enquiries is currently a periodic manual review, not an automated schedule — and you can ask us to delete your information at any time (see "Your choices" below). If you become a customer, we keep your information for as long as needed to provide our services and as required by law.

You can ask us to access, correct, or delete the information you've shared with us at any time by emailing contact@vellix.ai.

We may update this policy from time to time. The "Last updated" date above reflects the current version.
